Garantia Seguros goes Google

Garantia Seguros is a fast growing insurance company headquartered in Luanda, Angola with 3 main branches in Cabinda, Lubango and Luanda - Coqueiros, having Angolan and Portuguese shareholders. It uses Google Apps as the heart of its communication and collaboration strategy right from the beginning of its operation.

Lourenço de Almeida , the General Manager at Garantia Seguros and one of the persons directly involved in the decision process, tell us about their adoption of Google Apps :

We made the decision to adopt Google Apps with the support of TopSolutions, a Google Apps reseller and a trustworthy cloud solutions system integrator with an extensive experience in migrating businesses to the cloud. It took us less then a month to make the decision and TopSolutions guided us trough an efficient and quick setup, making us comfortable with the entire process.

Our main motivations for advancing with Google Apps were :

  • to outsource our email and documents infrastructure with a simple and reliable UI,
  • to maximize the service uptime and anti-spam effectiveness,
  • to be able to search fast within thousands of messages and documents,
  • and above all, to get more then 60 apps for a great price.

We had around 3 months to activate and make operational an insurance company in Angola from scratch, so the implementation speed and the ease of use was a must have. Today, even the less experienced user have no need for specific training (getting at the most on the job training), starting right away using online email and shared docs. In fact we have a very inclusive and collaborative work environment where even users with low computer literacy find no difficulties with Gmail and Google Docs adoption, being among the biggest Google fans.

Although some of our employees were already private Gmail users, the Google Apps were effectively presented to us by TopSolutions. And after that, we felt that Google Apps would provide exactly what we needed in terms of a greatly simplified service for our users and the accessibility that our mobile users require. In fact high mobility is one of the requisites of our teams, not only in the Angolan National territory but also in Lisbon, Portugal or when we need to recruit extra work force.

Angola is actually one of the fastest growing countries in the world but still have a significant number of challenges when comes to setting up an IT infrastructure for a company. First of all Luanda is the most expensive city in the world, where technical resources are scarce and consequently have always prohibitive prices. Basic IT services can easily reach prices of $260 per hour (yes you read right, per hour!). Besides that, the Internet connections are poor and the power supply conditions are insufficient and uncertain.

Being aware of these constraints, since the beginning we have defined that the most critic components of our IT infrastructure should be remotely managed by reliable third-parties as SaaS or ASP (even for the core insurance apps). That decision allow us to focus in the insurance activity, without loosing time and money managing on-site hardware and software, but still having access to great solutions with an outstanding uptime level.

Google Apps have a great performance and reliability even with slow Internet connections, as Google have an highly optimized data transfer process. And most of all, in the event of a power failure or an Internet connection outage, we know that our data is safe and that our servers are up and running in the cloud, receiving emails from our clients and still accessible anywhere on any device.

Regarding privacy and security we are certain that our data is always safer with specialists like Google, Amazon, … which have huge dedicated IT/Security teams and highly redundant infrastructures, compared to an on-site IT infrastructure maintained by us.

From a day-to-day perspective, we have a user friendly solution with a great email search capability which make our users life easier. Real time collaboration in Google Docs and email sharing as work methods, helps us significantly when building proposals or customer presentations. The vast majority of our users only access Google Apps trough the web interface, and that simplifies our IT activity once the solution is always up to date and requires no maintenance from our side. This fact, by it self, frees up our IT staff to support all the internal departments and to manage and keep operational our local infrastructure (iPBX, Desktops PC, printers, scanners, Internet connections, routers and so on).

In the end employees are happy because they can coordinate people and easily collaborate with their co-workers anywhere in Angola or in other countries. Even with occasional external workforce, we frequently give them access to temporary accounts where we can instantly share the relevant files and info, making them productive from the first minute.

S.D.M. goes Google

S.D.M. - Sociedade de Desenvolvimento da Madeira, SA is responsible, on behalf of the Regional Government of Madeira (Portugal), for the management, administration and promotion of the International Business Centre of Madeira (IBC). These responsibilities include the construction of the infrastructure in the Industrial Free Trade Zone of Madeira and the promotion of MAR – Madeira’s International Shipping Register.

Since the beginning of its activity as the concessionaire of Madeira's IBC, S.D.M. has established a network of correspondents and representatives in several countries with the aim of providing full local support to investors interested in setting up and investing in Madeira's IBC. Presently, S.D.M. has representative offices in Italy, U.K., Germany, Greece, USA, France, Norway, Monaco, Switzerland, Isle of Man and the Channel Islands and Argentina.

Leonel Silva , the IT Manager at S.D.M. and the person directly responsible for the global policy, implementation, development and administration of all IT resources of the company, tell us about their migration to Google Apps :

SDM goes Google

For many years, we had a Communigate Pro server which had on average a 85% uptime and demands more then 15 hours per month just for maintenance. We offer at the most 10GB as email quota and we fought spam with some difficulties (with a solution called Sophos). At that time we performed daily backups for all the accounts to prevent data losses and we had to install, support and keep updated all mail clients (Apple Mail.app, MS Outlook).

When considering all that, our growing needs and the few IT resources available to support all the company departments (from Administration Board to Sales and Marketing, passing by the Administrative or the Industrial Free Trade Zone Departments), we realized we needed a change.

After a detailed evaluation of the enterprise Google offering and also considering other high profile companies experience, our management had no doubt that Google will help us to better communicate as a team and with our business partners.

So, we decided to switch to Google Apps for Business which offered a far more reliable, secure, integrated and cost-effective way for our employees to communicate from their desks or on the road. Easily managed by a small IT team, Google Apps allows us to achieve our top 3 goals:

  • High availability and security
  • Cost savings (releasing budget and equipments to other areas)
  • CRM integration

It took us less then a month to validate the whole process and to prepare the transition for the entire company (including CRM data migration, specific developments and integration).

During the entire project we have been supported by our Google Apps partner, TopSolutions, who guided us trough an effective and quick setup assuring the integration with our productive process. In fact TopSolutions has been a valuable partner and provider of high quality cloud services. With a very efficient support infrastructure, TopSolutions was a decisive factor on our transition to the cloud and the adoption of services like Google Apps, Google Postini and Zoho CRM.

Getting everyone transitioned onto a new platform can be a challenge for any organization, but the learning curve for Google Apps was almost non-existent, since most of our users was already private Gmail users. We have provided less then 1 hour of training per user, basically to clarify the CRM integration and all the advantages of the available collaboration tools.

Throughout the year our Sales and Marketing staff participate in several international promotional missions both in European and American countries, and Google Apps provides the accessibility that our mobile users demands.

We experience fantastic productivity gains and all our users are happy with Google Apps high availability and the outstanding easy to use tools. 99% of our users only access Google Apps trough the web interface, and that makes our life easier because we have no need to update or upgrade any desktop email client. This not only has helped reduce IT management time, but it also has given us a whole new level of internal and external collaboration (with our clients and providers).

Google Postini is also a must have. We have no more problems with spam or virus and we have a great real time and automatic archiving solution with no need to manually backup anything.

Google Apps has been a huge win for us and Google just keeps on giving us great new features, like the brand new Google Drive.

Google ha presentado recientemente Google Drive, un lugar donde puedes crear, compartir, colaborar y guardar todas tus cosas. Tanto si estás colaborando con un amigo en un proyecto de investigación conjunto, como si estás planificando la boda con tu novia o controlando el presupuesto con los compañeros de piso, puedes hacerlo todo en Drive. Con Google Drive, puedes :

  • Crear y colaborar. En Google Drive, puedes crear nuevos documentos, hojas de cálculo y presentaciones instantáneamente. Trabajar en equipo al mismo tiempo, en el mismo documento, y ver los cambios que aparecen.
  • Guárdalo todo de forma segura y accede desde cualquier lugar (especialmente durante tus desplazamientos).   • Tiempo de Operatividad : Google Apps para empresas garantiza un 99.9% de operatividad por lo que puedes estar seguro que tus archivos estarán accesibles cuando los necesites.

Cada usuario de Apps recibirá 5GB de espacio de almacenamiento y los administradores pueden adquirir y gestionar de forma centralizada más espacio de almacenamiento. Cuando un usuario llega a su límite de almacenamiento, los administradores pueden comprar más capacidad.

New Android Google Docs App

Google has updated the Google Docs app for Android to give everyone the chance to be productive no matter where they are.

Google have brought the collaborative experience from Google Docs on the desktop to your Android device. You'll see updates in real time as others type on their computers, tablets and phones, and you can just tap the document to join in.

Google also updated the interface to make it easier to work with your documents on the go. For example, you can pinch to zoom and focus on a specific paragraph or see the whole document at a glance. Google also added rich text formatting so you can do things like create a quick bullet list, add color to your documents, or just bold something important. Watch the new Google Docs app in action:

Leroy Merlin Spain employees over 8,000 people in 50 stores throughout the country. Leroy Merlin is the leading chain in DIY, building, gardening, and decoration in Spain offering products, services and solutions to over 27 million customers.
